Build and own the obligation register across every federal agreement, keeping it current through modifications and change orders Run the compliance calendar, including training certificates, required notices and postings, and annual filings such as VETS-4212A Determine applicability of thresholds, commercial-item carve-outs, and requirements applicable to the company’s size Administer federal portals, including SAM representations and certifications, PIEE, and WAWF for invoicing Review flowdowns on new subcontracts and agreements before signature and flag obligations Onboard subcontractors on program context, systems access, security requirements, and operating expectations Hold subcontractors accountable for committed scope, timelines, and deliverables, escalating when they slip Route execution to People Ops, IT, and security and maintain ownership mapping Serve as primary interface with government contracting officers and administrative officers on active contracts Support BD and capture teams with contract strategy, pricing input, and terms-and-conditions risk assessment on proposals Manage clause interpretation with outside counsel Advise on deal structure, compliance risks, pricing justification, and signature readiness Build the contracts function as Kaizen’s first contracts hire Requirements 5+ years of federal contracts or subcontracts administration on the contractor side FAR and DFARS fluency, including flowdown matrices and applicability thresholds Experience building a compliance register or calendar DoD contract experience, including FAR-based awards or other transaction agreements GSA Schedule administration, including catalog maintenance, pricing justifications, BPA setup and updates, SIN and SKU modifications, option year reporting, and price reduction clause compliance Direct submissions into federal systems such as SAM, PIEE, or WAWF Ability to work independently on a small team Experience managing subcontractors or teaming partners against scope, milestones, and deliverables Negotiation experience on federal contracts Familiarity with data rights and IP provisions in federal software contracts Eligible to work with CUI Primed on subcontracts with flowdown obligations (strong candidate qualification) Experience managing relationships with major defense prime subcontractors (strong candidate qualification) Experience managing subcontractors delivering software, data, or AI capabilities (strong candidate qualification) NCMA certification (strong candidate qualification) Active or recently lapsed clearance (strong candidate qualification) Education history is requested in the application, but no educational credential is required in the posting Core Competencies Demonstrates expertise in federal contracts administration, including compliance management, subcontractor oversight, and negotiation.
